Updating E-Verify Submission Errors by Editing Section 2

If I get a submission error, do I need to reject an I-9 or can I edit the I-9 to correct the error and send it to E-verify?

Yes! In some cases, certain E-Verify submission errors can be corrected by making edits to Section 2.

Section 1 Submission Errors:

Any submission errors involving section 1 should still be rejected and sent back to the employee for revision. Examples of these types of submission errors include "ssn", "date_of_birth", or "alien_number".

Because this data is stored in section 1, an admin is unable to make edits to these types of errors. This restriction ensures the integrity of the information provided by the employee. If errors are identified after submission, the only resolution is to have the employee complete a new I-9 form with the correct information.

Admin Actions for Rejecting and Resubmitting Forms

Admins play a crucial role in ensuring the accuracy of I-9 forms. When errors are identified:

  • Navigate to the employee’s Forms tab or Inbox.

  • Select the option to reject the form or request a new submission.

  • Communicate with the employee to ensure they understand the need to correct and resubmit the form.

FAQs Related to Common I-9 Issues

Can Section 1 be edited by an admin?

No, Section 1 cannot be edited by an admin. The only way to correct errors is to have the employee complete a new I-9 form.

What happens if the employee does not resubmit the form?

The I-9 process will remain incomplete, which could lead to compliance issues. It is important to follow up with the employee to ensure timely resubmission.

Is there a way to avoid errors in Section 1?

Encourage employees to carefully review their information before submitting the form. Providing clear instructions during the onboarding process can also help minimize errors.

Other Acceptable Receipt:

This error will populate when you have used the “other acceptable receipt option” when submitting your List A, B, or C documents. (List of Acceptable Receipts found via USCIS here.)

To correct this error, use Redo Employer Section once the staff member has their updated document in hand. Redo Employer Section lets an administrator record the new document and its images directly, without sending the employee a new Form I-9. Note that redoing the Employer Section removes the authorized representative's signature, so the I-9 returns to the Pending Employer Section tab and must be countersigned again. Only request a new Form I-9 if the information in Section 1 also needs to change.

Below are a variety of Submission Errors you may see and how to correct the error and have the case resubmitted to E-Verify.

Date of Hire:

The "date_of_hire" error can be corrected by editing/adding a date to the "First Day of Employment" box.

Reason for Delay:

The "reason_for_delay_code" error can be corrected by selecting a delay reason.

Making Edits to Document Title/Number/Expiration Date:

Some submission errors will be related to the document's title, number, or expiration date. These can be corrected by clicking the "Edit Documentation" button. Below are various errors you may get regarding these fields.

Edit Documentation updates the document number, title, and expiration date of the already recorded document, and the authorized representative's signature remains in place. If the document type itself is wrong, or the images need replacing, use Redo Employer Section instead. That path removes the signature and requires the I-9 to be countersigned again. Expiration date Format:

The "expiration_date" error can be updated to match the YYY-MM-DD format.

Country Code:

The "country_code" error is related to how the Country was entered.

Making Edits to Section 2:

To make edits to section 2, you will want to navigate to the Onboarding Tab > I-9 Forms > Completed Tab.

Check the box next to the name of the employee you are trying to edit and click "Edit Section 2 for (x) selected form".

Clicking "Edit Documentation" will bring up a window where you can edit the document info.

To resubmit this to E-Verify, make sure you save any edits you make.
