Editing Section 2 of the I-9

How can I edit start dates, add additional info notes, or edit document numbers in Section 2 of the I-9?

Editing Section 2 of an I-9 is easy! In just minutes and with a few clicks, you can edit an employee's Start Date, add additional info notes, edit document numbers, or add a 'late reason' (when applicable) to your staff member's I-9. Let's take a look at how.

Please note that you can only update Section 2 of an Employee's I-9. If there are any errors in Section 1, the Form I-9 must be rejected, and the employee must correct them before Section 2 can be completed.

Which Edit Path to Use: Keeping the Authorized Representative Signature

There are two ways to change Section 2 after it has been completed, and they behave differently. One keeps the authorized representative's signature. The other removes it. Use Edit Section 2 to correct details on the document that was already submitted. The authorized representative's signature stays in place. This path covers:

  • Document number

  • Expiration date

  • Issuing authority

  • Receipt status

  • First Day of Employment

  • Additional info notes

  • Late reason, where applicable

Use Redo Employer Section only when the document itself needs to change — a different document type, or new document images. This path removes the authorized representative's signature. A warning pop-up appears before you continue, stating that making edits will remove the signature. Once the signature is removed, the I-9 returns to the Pending Employer Section tab and must be countersigned again. Example below.

Two examples:

  • A staff member submitted a driver's license and the expiration date was entered incorrectly. Use Edit Section 2 to correct the date. The signature is retained.

  • A staff member submitted a driver's license, but it was recorded as a State ID. The document type has to change, so use Redo Employer Section. A new signature is required.

Changes to Section 1 also require a new signature. The authorized representative certified that the documents matched the information the employee provided, so if the employee's name or citizenship status changes, that certification no longer holds. Finding the I-9 Dashboard

To begin, you'll need to navigate to your I-9 dashboard. There are two ways to do so. The easiest way is to click into the '# Form I-9' right from your Admin Dashboard:

Managing notes on I-9 forms is an essential part of employment verification. Notes can be added to provide additional context, such as indicating a remote reverify request due to a rehire or clarifying specific situations. Additionally, system-generated notes, such as those indicating late submission, serve as an auditing tool.

Admin Dashboard:

The second option would be to click 'Onboarding' at the top of the page, and then click 'I-9 Forms' on the left-hand column. Either option will bring you to the I-9 dashboard.

Next, click the Pending Employer Section tab, or the Completed tab if the I-9 Section 2 has already been submitted.

You can select one or more employees — for example, if you needed to update start dates in bulk, you could select all relevant employees from the list. Or, to make changes to one at a time, just select the desired employee by clicking the checkbox to the left of their name. Once you've checked the box(es), a button will appear that says 'Edit Section 2 for (#) selected form(s)':

After clicking 'Edit Section 2 for (#) selected form(s)', you will be brought to the page where you can make edits to Section 2. You'll see options to update First Day of Employment, add additional info notes, edit document numbers, and, if applicable, add a late reason:

Click on the Edit Additional Info button to reveal a dialogue box with a historical record of all of the actions that have been taken on an Employee's I-9 Section 2 Documentation. Feel free to manually type in any additional notes as well. Click 'Edit Documentation' to edit the document number, title, or expiration date.

System-generated notes, such as those indicating late submission, are automatically added by the System to support auditing processes. For example, if an I-9 form is completed without a Social Security Number (SSN), a late reason note may be added. These notes are intended solely for auditing purposes and do not indicate an error.

Note: To replace the document image itself — a different form of identification, or a new photo of the same document — use Redo Employer Section rather than Edit Section 2. Redoing the Employer Section removes the authorized representative's signature, so the I-9 will need to be countersigned again.

When you have finished your edits, click the blue Save Section 2 Updates button.

System-generated notes cannot be removed. These notes are added automatically to enhance auditing and compliance and do not imply an error in the submission process.

If the Authorized Representative Signature Was Removed

If an edit removed the signature, the I-9 moves back to the Pending Employer Section tab. No new submission is needed. The employee logs back in to the system and is prompted to have an authorized representative complete Section 2 again.

Reset Remote I-9 is a separate action and is only available on the Completed tab. If the signature has already been removed, the I-9 is no longer complete, so that option will not appear.
