A partner specific guide to groups.

What is a Group?

A Group is a feature in WorkBright used to place Staff into different categories to help with organization and functionality within WorkBright. Groups can be set up for a variety of use cases.

Some examples of popular Groups are: Location, Department, Hire Group or Class, Certification Types, Admin permission groups, and more.

It is helpful to note that a Staff member can be a part of many groups and is not limited to one.

What is a Group used for?

Groups are not just for labeling and organization. Groups were built with functionality in mind. Let's go over the three primary ways you can use Groups, Filtering Staff, and Refined Reporting.

Filtering

On the staff page and with the filter options in reporting, you can use Group(s) as an option to refine your results and focus on the selected groups.

Filtering can be very helpful when you need to perform bulk actions.

Report

When using a report, there are several ways that you can use a group to provide you with better reporting results.

In addition, you can use this report to make actionable changes like bulk actions or even bulk updates, among other things.

Now that we have been introduced to groups, let's deep dive into a few topics:

How to make and assign a Group(s)

Groups are an incredibly useful tool within WorkBright that not only allows you to organize your team staff, but also allows you to use other tools with greater ease. Refer to this article to learn more.

How to make a group

To create a group, go to your “Settings”.

Navigate to the left sidebar and look for the “Staff” section, and select “Groups”

From this screen, you will see that all the groups have already been made, a filter (add or remove achieved groups from the list), and a button to create a new group.

To make a new Group, click the “New Group” button.

From here, you will be able to name your group. When you select “Submit” the group will be created; if you select “Cancel” you will end the group creation.

After clicking “Submit” You will be taken back to your groups and see the new group you named and added.

If you hover over the far right side of a row of any of the groups, a “More” dropdown will appear. From here, you can Edit (update the name) and Archive (remove the group from use).

The “Delete’ option shown here is a function for our support team. If you do need to delete a group, please reach out for support.

How to assign staff to a Group?

Now that you have made a group, you can assign your staff to this group or another group.

New Hires

For new hires, you will add your Staff Member to the groups you want them to be in during the second step of the onboarding flow.

Note: You can add staff to one or more groups.

Existing Staff

To add existing staff to a group, you will go to the overview on the staff member's profile. Groups is the second section.

To add them to another group, you will click the “Add to Group” button.

A pop-up window will appear, and you will be able to select one or more options from the dropdown to add to the Staff Members groups. The dropdown will only reflect groups that they are not currently a part of.

Attachment

If you want to update the group of multiple staff members at the same time, you can Bulk Assign Groups from the staff page.

Bulk Assign Groups:

You may find yourself in a situation where you want to assign multiple Employees to one or more Groups in one batch. This can be done from the Staff Page:

Click Staff in the top navigation bar.

Select multiple Staff Members either by selecting them one by one or by individually checking the boxes to the left of their names.

You may also select Staff in bulk by clicking the check box at the top-left of the page. This will select all 25 results on the current page.

To select all of the Staff records across the account, first, click the bulk select button in the top left corner of the page and click the “Click to select all staff that match this search.”

  • Click Bulk Actions

  • Click Add Staff to Group

  • Removing Staff from Group, click the Remove Staff from Group button.

Bulk Assigning Groups from Reports Page

You’ll also be able to add/remove Staff Members from the Reports page. Here’s how:

  • Click Reports in the top navigation

  • Click New Report

Select the Output Data fields and Filters that make sense for your report, then click the Run Report button. After your report has run, the page will update to display a list of your Employees. In addition, you’ll now be able to take a few bulk actions, such as adding and subtracting Staff Members from Groups in bulk:

Select your Staff Members either one by one by checking the checkbox next to their names, or click the drop arrow in the top left corner of the page and click Select All.

Click Bulk Actions.

Use the Add Staff to Group and Remove Staff to take these actions in bulk.

Filtering and Reporting on Groups

On the staff page, you can use Group(s) as an option to refine your results and focus on the selected subset of your staff. You can look for a single group or multiple at a time. Let's dig into how you can do this.

On the Staff page, you can find this on the sidebar.

Click into the dropdown, and it shows you all the groups that you have created. You will have the option to select one or multiple groups. When they are selected, they will appear in the box below, indicating that they have been selected.

If you want to remove one of the selected groups, you can click on the option highlighted in the dropdown, or you can click on the x on the far right of the group name in the box below.

With these groups selected, you will now have filtered your staff view to show only the staff in these groups.

On the Staff page, you will also have the option to filter these groups with a toggle for ANY or ALL.

When toggled to ANY, this will reflect staff who are a part of one or more groups selected in this filter. This is helpful when looking generally for people in groups.

Note: ANY is the default filter setting

When toggled to ALL, the results will reflect staff who are part of all the selected groups only.

This is very helpful if you are looking for Staff with Specific overlapping groups.

Using Groups in Reports

When using a report, there are several ways that you can use a group to provide you with better reporting results.

You will be able to find groups in two places in Reports: Output Data (This will add this as a data point to the report) and Filters (This will ensure that you are only viewing certain data points when running the report).

Groups in Output Data

In the Output Data located on the sidebar on the left side of the screen, you will click on “Add a Field” and from the drop-down select “Staff Profile Fields”.

From that drop-down, you will look for and select “Employee Groups”.

Once you select that option, it will be added to your “Selected Filters”.

When you run the report, you will see it added to the results.

In the “Filters” section at the top of the Reports page, we can either add a filter by selecting the “Add Filter” button or update the filter (as seen below) by clicking on the filter that is there and opening the dropdown. From here, we will select “Standard Profile Fields”.

From that drop-down, you will look for and select “Employee Groups”.

This will add Employee Groups to your filters.

From here, you can select how you are filtering.

In addition, you can select the groups that will be filtered.
